Job Description
Background

Our objective is to support the most gifted and talented surfers towards success at future Olympic Games (in particular LA 2028 and beyond), whilst developing all those involved as people as well as athletes, via means of establishing a world class programme during the 2028 cycle. In the interim, we also seek to identify and prepare any gifted and talented surfers who demonstrate the potential to compete in the 2024 Olympic Games.

Overall Purpose

The purpose of the role is to operationalise and manage the Progression Pathway Programme, supporting the development towards a World Class Progression Programme. In doing so, ensuring the development of a World Class environment and culture to maximise Olympic and World Championship medal winning opportunities, whilst adhering to the values, standards and behaviours being continually evolved within British Surfing.

SALARY:
Competitive.

BENEFITS:

HOLIDAYS:
25 days per year plus statutory days.

CONTRACT:
Full-Time. (Funding confirmed until March 2025)

HOURS OF WORK:
Such hours as are necessary to fulfil the duties. This will involve a minimum of 35 hours per week and may include evenings, weekends, public holidays as well as considerable time out of country.

LOCATION:
Home based but with travel around the UK.

REQUIREMENTS:
Full UK driving license and own vehicle (a mileage allowance will be paid) & DBS Check.

The Role

PERFORMANCE PLANNING

• To embrace values and actively engage in working collaboratively with the whole staff team in achieving organisational objectives

• Work with the head coach/coaches and relevant performance staff to develop towards a world class training and a competition programme with a ‘performance first’ approach

• Working with technical coaches and the Executive Performance Lead to ensure all individual athlete plans and programmes are set and communicated effectively

• Coordinate and confirm logistics for both UK and international training camps for the relevant programmes, not limited to accommodation, travel, equipment, facilities, whilst considering athlete welfare at all times. This will involve making bookings and following the British Surfing process to account for programme spend

• Work with Head coach/coaches and relevant stakeholders to secure world class training facilities, both domestically and internationally

• Work with the Executive Performance Lead to develop a Sports Science and Medicine Team (SSM) to ensure the embedding of appropriate SSM support services to maximise the development of high potential athletes

• Work with the International Federation and events organisers, to ensure competition entry and accommodation deadlines for major international and other relevant competitions

• Create relevant Selection Policy documents – Squads and Major Events

• Responsible for the coordination and facilitation of annual Squad Selection meetings and Major Event Selection Meetings. Coordinating team selection letters, Squad Agreements, and Programme Agreements

ATHLETE/COACH COMMUNICATION

• Develop strong relationships of trust and openness with coaches and athletes to grow a sustainably successful performance programme

• Proactively answer general athlete and parent queries regarding the programme

FINANCE/ BUSINESS OPERATIONS

• Work within British Surfing accounting system Xero, processing programme related invoices, logging “bills”, and invoicing relevant parties for relevant costs and fees covered by British Surfing

• As future roles develop work with the British Surfing Finance Manager, Executive Performance Lead and Head Coach/coaches to ensure the programme is being delivered to budget, this will include monthly budget updates with the relevant staff

• Maximise the profile of British Surfing athletes, programmes and competition results

• Assist the Lead Welfare Officer with ensuring safeguarding procedures and paperwork are in place on all camps where necessary

GENERAL ACCOUNTABILITIES

• To build, manage and maintain strong team relationships and maximise communication within the team
• To represent British Surfing in a professional and positive manner with both internal and external stakeholders and in doing so reflects the values of the organisation
• To provide outstanding people skills
• To maintain a good working knowledge of British Surfing objectives, athletes, commercial partners etc and developments in the sport
• To share ideas and make suggestions to improve the organisation
• To follow all British Surfing policies and procedures, especially those regarding anti-doping, equality and diversity, and health and safety
• To undertake any other duties that may reasonably be required in furtherance of the objectives of British Surfing

Finally, in order to embrace some of the inevitable uncertainty of developing this new British Surfing Programme within a pre-existing wider British and global surfing culture, the Pathway / Team Lead will need to be open and flexible to taking on different and additional responsibilities over time.

Person Specification

KNOWLEDGE

• Knowledge of the surfing disciplines
• Knowledge of principles of programme management and best practice
• Knowledge and understanding of the inherent differences between development towards future performances vs. senior performances in the short-term, and the different support required
• Knowledge of athlete safeguarding and welfare principles and best practice (desirable)

EXPERIENCE

• Experience of managing multiple programmes/ work streams to support athletes, ideally in a high- performance team
• Experience of setting up and managing camps, competitions or related events, ideally domestically and internationally
• Experience of working with coaches and support staff e.g., physios, nutritionists etc, maximising and improving communications to best support athletes
• Experience of preparing project plans, managing budgets and of writing monitoring reports
• Experience of using a range of systems and processes e.g., Microsoft Office, CRM, Finance, HR etc

SKILLS & COMPETENCIES

• Excellent planning & prioritisation skills.
• Excellent communication and influencing skills.
• Excellent IT skills (Word, Excel, Powerpoint, emails, Financial Systems).
